About This Tool

WHY THIS MATTERS

Pricing is the single most important decision for any business — yet most small business owners in India price their products by simply adding a fixed amount to their cost, without calculating whether that margin is healthy enough to cover overheads, channel margins and GST. This tool eliminates that guesswork entirely.

Our Profit Margin and Selling Price Calculator is built specifically for Indian manufacturers, traders, retailers and service providers. It accounts for three key pricing challenges unique to the Indian market: GST-inclusive pricing, multi-channel distribution margins (distributor + retailer), and break-even calculation based on your fixed monthly costs.

Enter your cost price and desired profit margin — the tool instantly shows your selling price (ex-GST and inc-GST), your CGST/SGST split for invoicing, channel prices for distributors and retailers, break-even units per month, and a profitability health indicator that tells you if your margin is healthy, moderate, or dangerously low.

EVERYTHING YOU NEED TO KNOW

A healthy gross profit margin varies by industry. Manufacturing: 20-35%. Trading: 10-20%. Retail: 15-30%. Services: 30-60%. Net profit margin (after all overheads) of 10-15% is considered healthy for most small businesses. Below 10% net margin leaves little room for growth or unexpected expenses. Use our margin health indicator to assess your pricing.
Profit margin is calculated on the selling price: Margin% = (Profit ÷ Selling Price) × 100. Markup is calculated on the cost price: Markup% = (Profit ÷ Cost Price) × 100. A 25% markup gives only a 20% margin on the same transaction. This difference causes major pricing confusion — always clarify which one you are discussing with distributors and retailers.
First calculate your ex-GST selling price based on your desired margin. Then add GST: Total = Ex-GST Price × (1 + GST Rate ÷ 100). For ex-GST price of ₹500 at 18% GST: Total = ₹500 × 1.18 = ₹590. The ₹90 GST (CGST ₹45 + SGST ₹45) must be shown separately on your B2B invoice. Our calculator shows both ex-GST and inclusive prices automatically.
Work backwards from your factory price. If your factory gate price is ₹100 and the distributor needs 10% margin, they buy at ₹100 and sell at ₹111 to the retailer. If the retailer needs 20% margin, they buy at ₹111 and sell at ₹139 (ex-GST MRP). Add GST to get the final consumer MRP. Use our Channel Distribution option to calculate this automatically.
Break-even is the number of units you must sell per month to cover your fixed costs. Formula: Break-Even Units = Fixed Monthly Costs ÷ Gross Profit Per Unit. If fixed costs are ₹30,000 and gross profit per unit is ₹150, you need to sell 200 units to break even. Any sales beyond 200 units generate net profit. Enter your fixed costs in this tool to calculate your break-even quantity.
If you are GST-registered and claim Input Tax Credit (ITC), your cost price should be the amount BEFORE GST since you get the GST back as a credit. If you are not GST-registered or your input goods are GST-exempt, include the GST paid as part of your cost. Most manufacturing businesses use ex-GST cost for margin calculations.
Typical distribution margins in India: FMCG distributors 5-10%, FMCG retailers 15-25%, electronics distributors 3-8%, electronics retailers 15-25%, garments distributors 10-15%, garments retailers 30-50%, pharma stockists 10-15%, pharma retailers 16-20%. Modern trade (supermarkets) typically takes 25-35% margin.
Check competitor prices first — research 3-5 competitor products and note their MRP. Then calculate your cost and minimum margin needed. If your calculated price is higher than competitors, review your cost structure. If it is lower, you have room to either improve margins or use the competitive price as an advantage. Never price below your fully-loaded cost including overheads.
Higher production or sales volume reduces per-unit fixed cost (rent, machinery, salaries spread over more units), effectively improving your margin at the same selling price. This is operating leverage. Use our break-even calculator to see how monthly profit changes as you scale from current volume — the profit acceleration above break-even is often dramatic.
For services, your cost price is your hourly cost rate: total monthly expenses (salaries, rent, software, etc.) ÷ total billable hours per month. Your selling price is your billing rate per hour or per project. Margin = (Billing Rate - Cost Rate) ÷ Billing Rate × 100. Service businesses should target 35-60% gross margin to cover overheads and generate net profit.

DETAILED GUIDE

Understanding Profit Margin vs Markup

These two terms are often confused but mean very different things:

Profit Margin is calculated on the selling price.
Formula: Margin % = (Profit ÷ Selling Price) × 100
Example: Cost ₹500, Sell ₹625 → Profit ₹125 → Margin = 20%

Markup is calculated on the cost price.
Formula: Markup % = (Profit ÷ Cost Price) × 100
Example: Cost ₹500, Sell ₹625 → Profit ₹125 → Markup = 25%

The same pricing gives you 20% margin but 25% markup — which is why quoting margins and markups interchangeably causes confusion. Use our Markup vs Margin tab to compare both side by side.

How GST Affects Your Pricing

GST is charged on the selling price, not your cost price. When you set a price, you need to be clear whether your quoted price is inclusive or exclusive of GST. Most B2B transactions quote ex-GST prices on invoices, while B2C businesses show MRP (inclusive of all taxes).

If your cost is ₹500 and you want 20% margin at 18% GST:
– Ex-GST selling price = ₹500 ÷ 0.80 = ₹625
– GST (18%) = ₹112.50
– Customer pays = ₹737.50

Distribution Channel Margins in India

If you sell through distributors and retailers, your factory price must be low enough that both channel partners make their margins AND the end customer pays a competitive MRP. Typical margins in India: Distributor 8-12%, Retailer 15-25%, Modern Trade 25-35%. Use the Channel Distribution option in this tool to back-calculate your factory price from an MRP.
